Timed Active Accept & Bulk Management from Document List
Product enhancement idea
It would be useful to have the option to set “Active Accept” for a defined period when configuring a document, for example 30, 60 or 90 days. After this period, the system would automatically revert the document to “when opened”. This would remove the need for manual follow-up by admins and prevent new users being assigned acceptance tasks for older documents.
Additionally, it would help to have a clear “Active Accept” indicator visible in the document list within the admin view. Ideally, this should be filterable and editable directly from the list.
For example, if there are multiple documents that need to be changed from Active Accept to “when opened”, it should be possible to select them in bulk and apply the change in one action, rather than opening each document individually.
Comments
I agree with this.
We've seen situations where users end up with a large number of unread/unaccepted documents, particularly new starters who are automatically assigned manuals that have been published over a long period of time. Having the ability to automatically revert a document from Active Accept to "When Opened" after a configurable period would help keep acceptance queues manageable and ensure users are only being asked to actively acknowledge genuinely current changes.
Another enhancement I'd love to see is the ability to configure different publication/acceptance requirements for different roles or user groups. For example, one group may be required to actively accept a document, while another group only needs to be notified that a new revision has been published, without receiving ongoing reminders or being required to formally acknowledge it.
This would provide much more flexibility and allow organisations to align document notifications and acceptance requirements with their actual compliance obligations.
