How to Create a Multifile PDF/OEM Maintenance Manual Document in Web Manuals

  1. With the Documents Pane open, click on the green Add Document button in the bottom right-hand corner. The Add a Document button is also accessible from within an open Category (located on the bottom right-hand corner). 
  2. From the dropdown menu, select More. Choose the option that corresponds with your File type:  General MultiPDF Manuals, Boeing OEM Maintenance Manuals, or  Embraer OEM Maintenance Manuals PDFs.

General Multi/PDF Manuals

  1. After selecting General Multi/PDF Manuals from the Dropdown Menu, a settings window will appear. The top field in this window prompts the user to select the Category in which the file will be located.


     
  2. The next field prompts the user to select the file’s  Document Type
  3. After selecting the Document Type, the user will upload bulk PDF files or a compressed folder of files by selecting one of two options:

    Select File(s)/zip-file allows users to select and upload multiple individual files at one time, or upload a  .zip (compressed) Multi-file PDF.

    Select Folder(s) allows users to import an entire uncompressed folder (along with its contents) into the system. If the folder uploaded contains subfolders, the file structure created in the Web Manuals Document will mirror that of the uploaded folder and its subfolders.
  4. After the user uploads their file(s), a new button labeled “Analyze Files” will appear. This prepares the files for import and ensures they are correctly processed and organized before being added to the system.

  5.  Once the files are analyzed, more fields will appear that prompt users to fill in the Document Name, Short Code, Revision Information, and File folder name. The File folder name field is for backend linking purposes only.  It is occasionally autopopulated by the system.  If the field is autopopulated, changing the name is not required.

     

  6. Below the Revision Name and Date fields, users can tick a box to publish the file immediately. If this option is selected, users can also select to send a Reminder notification. 


     
  7. If the Publish box is left unchecked, the Document will not be published immediately. The Editor will need to move the Manual through the Review process to publish it. 

Boeing and Embraer OEM Maintenance Manuals

  1. Navigate to the bottom left-hand corner of the Documents Pane and select the green Add Document button, or add a Document from within an open Category via the button on the bottom right-hand side of the Category view.  
  2. From the dropdown menu, select More. Choose Boeing OEM Maintenance Manuals or Embraer OEM Maintenance Manuals PDFs.
     
  3. After uploading their file, during the Analyze Files process, the system will automatically generate the Document Name, Short Code, Revision information, and applicability label. Users can select from existing Tag Categories and set them from the outset. 

  4. Tick the boxes below to Publish instantly and Send a Reminder, leave them deselcted to require manual move through the Review process before publishing.
  5. Once the user presses Save, a new tab will open with the newly created  OEM/Multifile PDF Manual. 

    Note: If the files in your .zip folder contain parentheses (), this will break the file when it's imported into Web Manuals. To fix this, before uploading, uncompress the file, remove parentheses from the file names that contain them, and then import the uncompressed folder with the correctly titled files.
